Job Description
The Administrative Associate provides support to FRD Department and Director' s Office. Phone etiquette is essential with this position. The Staff Assistant should be self-motivated and be able to multi-task with good organizational skills in order to be efficient and capable of keeping up with the administrative requests and special projects while creating positive relationships with internal and external contacts.
Responsibilities:
- Answer all phone lines for FRD and Director's Office. Receive and route all office materials for FRD. Maintain inventory of supplies and purchasing of supplies for FRD. Schedule meetings and interviews as requested. Make and log deposits. Gather fuel logs on a monthly basis, process fuel bills and input fleet data. Submit work orders for maintenance. Ensure Xerox machine and HP Printer are stocked and regularly maintained.
- Provide support for FRD staff, including Lufkin SF group: registering for conferences, making travel arrangements, travel reimbursements, etc.
- Assist with special projects and preparation for conferences/ workshop materials. Run errands for FRD and serve as backup for Director's Office. Post postage, process and distribute for FRD and Director's Office. Maintain Department phone list. Back-up to Administrative Associates in FRD Associate Director's Office for routine office tasks. Set up for meetings - layout room, refreshments, etc.
- Manage web emails for the General and Tree & Forest accounts.
- This is a security-sensitive position. The individual in this position is required to handle Protected Health Information( PHI) as defined by HIPAA regulations. The individual is required to handle PHI in accordance with A&M System' s policy and is further required to complete HIPAA training as a condition of employment, within a reasonable time-frame after the individual' s employment, and on an as needed basis thereafter.

Education and Experience:
Required Education: High School Diploma/GED.
Preferred Education: Associates degree or equivalent in business or area of program specialty.
Required Experience: 3 years minimum experience in a business area.
Knowledge, Skills and Abilities:
Required Knowledge: Microsoft Office Suite, phone etiquette
Required Ability: Multi-task and work cooperatively with others.
Required Skills: Moderate level of customer service skills working with Internal and external customers. Typing 65-75 wpm.
Registrations, Certifications, and Licenses:
Valid Texas Driver's license or ability to acquire one within 30 days of employment.
